{"id":90,"date":"2013-02-08T22:27:24","date_gmt":"2013-02-08T22:27:24","guid":{"rendered":"http:\/\/ct-test-wp.taftcollege.edu\/govcouncil\/?p=70"},"modified":"2013-02-08T22:27:24","modified_gmt":"2013-02-08T22:27:24","slug":"february-8-2013-minutes","status":"publish","type":"post","link":"http:\/\/committees.taftcollege.edu\/govcouncil\/february-8-2013-minutes\/","title":{"rendered":"February 8, 2013 Minutes"},"content":{"rendered":"<p><strong>TAFT COLLEGE GOVERNANCE COUNCIL MINUTES <\/strong><\/p>\n<p>February 8, 2013 12:10 pm\u20132 pm Cougar Room<\/p>\n<p>Members Present: \u00a0\u00a0\u00a0\u00a0 Kanoe Bandy, Patti Bench, Debra Ekdahl, Sharyn Eveland, Greg Golling, Sandi Graham, Vicki Herder, Brock McMurray, Dena Maloney, Sonja Swenson, and Tony Thompson<\/p>\n<p>Members Absent: \u00a0\u00a0\u00a0\u00a0\u00a0 Kamala Carlson, Fernando Lara, Velda Long and Jim Nicholas<\/p>\n<p>Guests: \u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Eric B\u00e9rub\u00e9, Brandy Cramer, and Sheri Horn-Bunk<\/p>\n<p>Facilitator: Vicki Herder Recorder: Kanoe Bandy Timekeeper: Sharyn Eveland Minutes: Melissa Blanco<\/p>\n<p>&nbsp;<\/p>\n<p><strong>APPROVAL OF MINUTES <\/strong><\/p>\n<p>The minutes of the meeting held January 11, 2013 were approved by consensus.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>ACCREDITATION SELF STUDY MEMO AND INSTRUCTIONS FOR CHAIRS <\/strong><\/p>\n<p>(Led by Eric B\u00e9rub\u00e9, Coordinator of Institutional Assessment, Research, &amp; Planning)<\/p>\n<ul>\n<li>Eric distributed a packet of information which included the following (copy attached to official minutes):\n<ul>\n<li>Memorandum dated 1-24-13<\/li>\n<li>Tentative Timeline and Process for 2015 Accreditation Self Evaluation\u2014Revised January 22,2013<\/li>\n<\/ul>\n<\/li>\n<li>Accreditation Self-Study Steering Committee Chairs Spring 2013<\/li>\n<li>Eric stated these handouts have been distributed to all the chairs of the subcommittee so they are aware of timelines and expectations.<\/li>\n<li>The sub-committee chairs need to send their committee member wish lists to Debi Wooley.<\/li>\n<li>Dena and Eric will look at the list and balance the sub committees.<\/li>\n<li>Recommended to balance the committees with a mix of classified, management, and faculty to have a variety of perspectives.<\/li>\n<li>Dena and Eric will send out an email to inform the staff and faculty to step-up and participate on these subcommittees. It is to everyone\u2019s advantage to volunteer and participate. <strong>(ACTION ITEM) <\/strong><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Governance Council <\/strong><\/p>\n<p>&nbsp;<\/p>\n<p><strong>ACCJC ACTIONS AT JANUARY 2013 MEETING <\/strong><\/p>\n<p>(Led by Eric B\u00e9rub\u00e9, Coordinator of Institutional Assessment, Research, &amp; Planning)<\/p>\n<ul>\n<li>Eric B\u00e9rub\u00e9 stated action letters have not been released yet and should be sent out on February <sub>11<\/sub><sup>th <\/sup><\/li>\n<li>Delay due to new Federal Department of Education guidelines.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>2013-14 BUDGET PLANNING AND BUDGET COMMITTEE REPORT <\/strong><\/p>\n<p>(Led by Dena Maloney, Superintendent\/President)<\/p>\n<ul>\n<li>Dena stated the Budget Committee met February 5<sup>th <\/sup>and discussed the charter.<\/li>\n<li>The committee reevaluated what the committee should be doing.<\/li>\n<li>BC members should understand the budget process and how districts are funded.<\/li>\n<li>BC members should serve as a communication tool and share updates and information with the Governance Council and those on campus.<\/li>\n<li>The BC also reviewed the Governor\u2019s budget along with a PowerPoint presentation regarding the Budget Development process which was shared with the Governance Council.\n<ul>\n<li>Reviewed how community colleges\u2019 budgets are developed<\/li>\n<li>Reviewed the Governor\u2019s proposed budget for community colleges<\/li>\n<li>Reviewed Governor\u2019s 2013-2014 budget proposal policy recommendations<\/li>\n<li>Reviewed our next steps<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p><strong>CAMPUS SAFETY PLANNING UPDATE <\/strong><\/p>\n<p>(Led by Brock McMurray, Vice President of Student Services)<\/p>\n<ul>\n<li>Brock stated the campus now has a campus-wide notification emergency message system\/voice message.<\/li>\n<li>The switchboard operator is now considered the \u201ccommand center\u201d to send out phone messages.<\/li>\n<li>The District will be entering into a contract to communicate via cell phone and text messaging for emergencies.<\/li>\n<li>A hand radio communication system will be in place along with an exclusive communication channel with the Taft Police Department.<\/li>\n<li>The District will be contracting out to develop a campus-wide safety plan.<\/li>\n<li>Sergeant Buford is our liaison and assigned to Taft College.<\/li>\n<li>A safety document for lock down procedures has been distributed to the entire TC family.<\/li>\n<li>An emergency response guide has also been developed and will be distributed to everyone soon.<\/li>\n<li>The Counseling Center is working on a violence prevention guide and identifying those with mental illness. There is more work to be done in this area.<\/li>\n<li>Brock and Dena met with WESTEC to ensure they are also prepared. They found there is great expertise out at WESTEC.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p><strong>STRATEGIC PLANNING COMMITTEE REPORT <\/strong><\/p>\n<p>(Led by Eric B\u00e9rub\u00e9, Coordinator of Institutional Assessment, Research, &amp; Planning)<\/p>\n<ul>\n<li>Val Garcia was not present to provide an update so Eric B\u00e9rub\u00e9 volunteered.<\/li>\n<li>Eric stated the SPC met last Friday.<\/li>\n<li>They are looking at the impact of the new standards that will be coming out next year.<\/li>\n<li>The committee will be looking at the program reviews that are starting to be submitted.<\/li>\n<li>There will also be a survey of the IT services.<\/li>\n<li>Eric distributed a letter from the ACCJC dated January 31, 2013 (copy attached to official minutes) regarding new standards concerning data on student achievement.<\/li>\n<li>IR will look at what it\u2019s doing to meet these new mandates.<\/li>\n<li>Sharyn requested a copy of the attachment that was mentioned in the letter.
